Overview: We are seeking a highly organized and proactive Executive Administrator to join our legal cannabis business in Oregon.
As the Executive Administrator, you will be responsible for overseeing a team of administrators, ensuring smooth day-to-day operations, and providing crucial support in various areas, including HR, payroll, compliance, and financial management.
This role requires a strong understanding of state and local regulations, OSHA compliance, basic HR principles, and the ability to manage multiple people and projects simultaneously.
Responsibilities:
* Team Oversight:
* Lead and supervise a team of administrators, providing guidance and support to ensure efficient daily operations.
* Foster a positive and collaborative work environment within the administrative team.
* HR and Payroll Support:
* Collaborate with the HR manager to assist with HR-related tasks, including employee onboarding, benefits administration, and payroll processing.
* Serve as a backup for HR manager's duties in their absence, ensuring continuity in HR processes.
* Compliance Management:
* Stay abreast of state and local regulations pertaining to the cannabis industry in Oregon.
* Ensure company-wide compliance with relevant laws, regulations, and industry standards.
* OSHA Compliance:
* Implement and oversee Occupational Safety and Health Administration (OSHA) compliance measures.
* Conduct regular safety audits and training sessions to promote a safe working environment.
* Financial Account Management:
* Manage company bank accounts, overseeing transactions and reconciliations.
* Develop and maintain relationships with lenders, managing any financial agreements or transactions.
* Administrative Efficiency:
* Streamline administrative processes to improve efficiency and productivity.
* Implement best practices for record-keeping, documentation, and communication within the administrative team.
* Vendor and Supplier Management:
* Coordinate with vendors and suppliers to ensure timely delivery of goods and services.
* Negotiate contracts and terms with vendors to optimize cost-effectiveness.
* Meeting Coordination:
* Coordinate and schedule executive meetings, prepare agendas, and assist with meeting logistics.
* Record and distribute meeting minutes as needed.
Qualifications:
* Bachelor's degree or equivalent experience in business administration, human resources, or a related field.
* Proven experience in administrative leadership roles.
* Familiarity with HR processes, including payroll and benefits administration.
* Willingness to learn or basic understanding of Oregon's cannabis regulations and compliance requirements.
* Knowledge of OSHA regulations and experience implementing safety protocols.
* Financial management experience, including managing bank accounts and relationships with lenders.
* Excellent organizational and multitasking skills.
* Strong interpersonal and communication skills.
* Ability to lead a team and foster a positive working environment.
