The Spirit of the Position: The Office Administrator provides administrative support to the Operations management team and represents the region in greeting and creating a welcoming atmosphere toward applicants, employees, customers, clients by providing excellent service, answering all inbound calls, helping to resolve inquiries, complaints, etc.
in a positive manner.
Principal Job Duties: Provide excellent customer service at all times.
Verify Permits and Registrations: Validate parking permits, handicap tags, and vehicle registrations to ensure adherence to local ordinances.
Respond to Complaints: Address parking-related concerns and complaints from residents, businesses, and other stakeholders, investigating issues and providing appropriate resolutions.
Read and reply to emails as received.
Answer phones and return messages in a pleasant manner.
Provide Information: Offer assistance and information to the public regarding parking regulations, payment methods, and available parking facilities.
Assist customers with questions about paying online or in the LAZ app.
Accept and process parking and ticket payments.
Monitor Metered Parking: Ensure the proper functioning of parking meters, collect fees from metered spaces, and report any malfunctions or damage.
Coordinate Towing and Booting: Arrange for the towing or booting of vehicles that are illegally parked or have accumulated multiple citations.
Maintain Records: Keep accurate records of parking violations, citations issued, payments received, and other pertinent data for administrative purposes.
Court Testimony: Attend court hearings as needed to provide testimony related to parking violations and enforcement actions.
Conduct Educational Outreach: May assist in organizing educational outreach programs to raise awareness about parking regulations and promote compliance among motorists.
Assist with Traffic Control: May provide support with traffic control during special events, emergencies, or congested periods to ensure the smooth flow of traffic.
Collaborate with Departments: Work collaboratively with other city departments, law enforcement agencies, and transportation authorities to address parking-related issues and develop effective enforcement strategies.
Assist Operations Management Team with recruitment needs, screening applicants for frontline positions, scheduling interviews for managers, track and update the management team on the recruitment and hiring status of frontline positions.
Coordinate with HR for integration of new hires into company systems and assist to ensure all requirements of documents and testing have been completed and on file.
Coordinate with HR and Operations Management Team to schedule new hire orientations.
Maintain uniform supply inventories and process orders as needed.
Coordinate with Operations Management Team for new hire training.
Other related duties as assigned.
Education: High school diploma or GED required.
Experience: 1+ years in an administrative support role is required.
Data entry experience is required.
Type 45+ wpm Proficient in Excel, Word, Power Point and General Microsoft Office Applications.
Skills: Ability to communicate professionally and effectively.
Excellent phone, interpersonal, and organizational skills.
Ability to speak, read, and comprehend the English language.
Must be open to feedback, differing opinions, and other points of view.
Demonstrates a sense of urgency and timeliness.
Demonstrate the ability to seek improvement.
Excellent teambuilding and interpersonal skills.
Physical Demands: Ability to lift, push and pull at least 10 pounds.
