POSITION TITLE: Administrative Assistant
POSITION SUMMARY:
The administrative assistant will greet and register patients, answer phones, schedule patients, assist with building the provider schedule, and escort patients to the clinician’s office.
The administrative assistant works closely with the Wellness Center clinicians in a collaborative team environment, and works under minimal supervision, performs data entry, clerical, and reception support for the Wellness Center.
Position is responsible for receiving referrals, sending referrals, and coordinating transitions of care among care team providers.
The administrative assistant will identify and satisfy the needs of clients and assist the Wellness Center staff as needed.
Interfacing with clients, other staff, and visitors in a cheerful, cordial manner will be essential.
ESSENTIAL JOB FUNCTIONS:
Greets and registers patients and answers telephones in a pleasant manner.
Review, research and process incoming referral requests received via fax and Epic.
Maintain ongoing tracking and thorough documentation on referrals.
Manage and track the status of all outgoing referrals to ensure appropriate appointment information and progress notes are received and the referral communication loop is closed.
Opens office mail, routing to appropriate recipient.
Manages schedule of providers and patients
Provider assistance as needed:
Rooms patients, which involves measuring height, weight, and body composition.
Group class preparation
Arranges for office repairs to office equipment as needed, inventories, orders and maintains office supplies.
Actively participates in team meetings and records minutes for the meeting.
Has a working knowledge/understanding of the importance of healthy lifestyles.
Types correspondence and other work as needed accurately and in the correct format.
Complies with facility Service Excellence Standards.
Maintain confidentiality in patient care in accordance with HIPAA, clinic, hospital, and professional standards.
Coordinate programs and events.
General upkeep of lobby and other rooms.

Minimum Requirements
QUALIFICATIONS:
REQUIRED:
50 wpm typing and word processing skills and must be able to work independently.
Ability to communicate effectively, orally and in writing.
Have excellent telephone skills and be a team player.
Ability to organize, prioritize work and pay strict attention to detail.
Must maintain a high level of confidentiality at all times.
Ability to schedule patients.
